In order to facilitate postgraduate tutor recruitment, classroom teaching, student guidance, publication of papers, scientific research management, we have developed a graduate tutor portal system. The system has been researched and developed since 2003. After more than ten years of upgrading and improvement, it has been fully used in schools. The following is a detailed explanation of the graduate tutor portal system from four aspects: system design concept, framework structure, function realization and use effect.

design concept

1. Management as a service

System design adheres to the concept that management is service. In order to make management work better to provide support and services for teaching and research, we use information technology to design and develop a one-stop information system integrating teaching information, student information, scientific research information, communication function and evaluation function.

2. Service support assessment

While the instructor portal system provides services for the instructors, it collects data, masters the development of postgraduate education, real-time assessment, and prevents the misconduct of instructors and students. Through data analysis, the instructors can understand the gap between their own and the department and the overall level of the school from the aspects of student source quality, curriculum evaluation, citation analysis, paper review, etc., and carry out self-academic positioning to promote flexible self-management.

According to the different objects used, different functions are designed and different permissions are opened to meet the differentiated requirements.

Adjust and upgrade the system at any time according to the needs of the instructor. Meet the different needs of the instructor under specific conditions.

Design framework

The Graduate Instructor Portal system includes design modules for data collection, data analysis, and quality assessment. The design process of the system is derived from the data transmission direction. The data related to the tutor is collected and organized through various channels, and is associated with different tutors in different disciplines. Various analysis tools are used to analyze online data in real time, and the analysis results are mainly pushed to the tutor. 1. Basic information of the instructor

Basic information such as the instructor's natural information, job title, position, education level, and academic part-time job are stored in the system, and the instructor and administrator can maintain it online in real time. The accuracy of personal information is directly related to the association of other relevant information. Ensuring the accuracy and timeliness of personal information is a critical step in the system's implementation of other functions.

In order to strengthen international exchanges, we translated the Chinese resume information of each tutor into English, and produced the English version of the instructor's personal homepage, attracting foreign students to come to our school for further study and improve the international popularity of our school.

2. Research results information

Through the association with the data of the Scientific Research Office, the instructor can view the name, source, start and end time of the research project, research funding, etc. of the research project that I have undertaken since 1996, as well as publish academic papers, invention patents, publication monographs, etc. While inquiring about scientific research information, the instructor can also improve and maintain his own scientific research information and add new scientific research projects.

3. Instructor qualification online review

After verifying and perfecting their own information, the instructor will submit an application for enrolling graduate qualifications online according to his or her own research situation, and submit an enrollment qualification examination form to the degree, college, and school. After the tutor qualification examination form is submitted, the person in charge of the degree point and the person in charge of the college will conduct an online online review to confirm whether the tutor is qualified for employment. According to the needs of the development of the discipline, the college will confirm the list of enrollment instructors for the next year, and submit it to the school for review.

The tutor system and the graduate information platform data are in real-time. The tutor can inquire about the number of students, the basic information of students, the source of students, the social activities and awards, the results of the students' courses, the elective courses, and the information of the teachers in the tutor portal system. The tutor can set different training plans according to the students' student source differences and research directions, and assign students different training plans according to the training plan set by the tutor. 2. Graduating students

The mentor portal system contains all the graduate information since the school was founded in 1958. The instructor can find the information of the graduates who I am instructed in the system, including graduation time, graduation destination, contact information, etc. The tutor can not only view but also maintain. Some students may change their contact methods and work units after graduation, and the tutor is very likely to keep in touch with the graduates. At this time, the tutor can update some changes in the system to maintain the graduates.

In the annual Graduate Admissions Guide, the instructor’s resume is derived from the mentoring system. The system customizes the personalized enrollment promotion page for each tutor. The tutor can selectively disclose his research direction, exam requirements, and published papers, so that interested students can check the application.

2. Candidate interaction

Candidates can use the interactive functions provided by the system to fill in their own application intentions, submit contact information, upload personal resumes, personal photos and previous academic performances when browsing the instructor's admissions promotion page. After the student fills in the application intention, the system will automatically send an email to the instructor to inform the students of the intention to apply for the exam. The tutor can check the personal information uploaded by the intent student in the system. If the tutor is satisfied with the student, you can reply in the system and use the online video interview function provided by the system to conduct a remote video interview for eligible candidates.

3. Intention students

In the system, you can not only view the students who intend to apply for their own intentions, but also can view all the students who intend to apply for our school. If the tutor is not satisfied with the students who are applying for their intention, they can reject the student's application through the system and can also apply to all students. Choose students who are more satisfied with themselves. This interactive information platform makes it easier for students and teachers to communicate and achieve a win-win result.

The instructor can use the system to manage various teaching resources, such as: PPT, reference documents, teaching videos, network resource links, etc., and realize the functions of uploading, reviewing, editing, and sharing teaching resources.

Through the establishment of the course forum, the online interaction between teaching and learning is realized, and the problems in teaching are found in the communication and solved in time. The history of the forum also provides valuable learning experiences for follow-up learners.

3. Job management

This module implements functions such as job placement, job submission, and performance statistics. Using this module, the instructor can not only correct the work online, but also understand the completion of each job and the overall situation of the class, and help the management by setting up teaching assistants. Through the job management module, the teaching tasks are further decomposed, the process management is strengthened, and the teaching effect is improved.

4. Course evaluation

In the system, the instructor can not only check the number of papers published by each graduate student, the impact factor, and the average impact factor of all graduated papers, but also the total number of papers published in the discipline and the average impact factor. By comparison, the instructor can understand the impact of his published articles on the quality of the overall paper in the discipline.

3. Learning time

Learning time reflects the learning pressure of students from one angle. The longer the time, the greater the learning pressure. The instructor understands the time of study of the graduate students in the school, compares the average study time with the graduate students of this major, understands the learning pressure of graduate students, and rationally distributes scientific research work. The management department can also learn the learning pressure of different tutors, different majors, and different departments.

4. Teaching effect

In the system, the tutor can not only see the students' grades of the courses they have taught over the years, but also the average scores of the department and the whole school curriculum. 5. Department management

Through the statistical analysis function provided by the system, all levels of management departments can inquire about the age structure, academic structure, professional distribution, research funding, guiding students, teaching conditions and other information from the school, the hospital, and the department, for scientific management decision-making. The system provides instant messaging services such as text messages, emails, web videos and forums for instructors and managers. The instructor organizes online video responses from overseas or off-campus experts through the video response function provided in the system. The online video reply avoids the hard work of the responding committee to go back and forth, saves the expert's time, reduces the cost of the thesis defense, and promotes academic exchanges. Online review of the composition of the reviewers and the members of the respondents

The system realized the online electronic review of the composition of the dissertation reviewers and the respondents. According to the different types of degrees, the composition of the reviewers and the members of the respondents are submitted by different roles. After the applicant submits online, the system submits the list to the person in charge of the subject or the head of the department according to the type of the degree. The person confirms whether the composition list meets the requirements online through the system and makes a decision whether or not to agree to the review and defense.

Log management and recommended collection

Log management

System log management, recording information such as the instructor or administrator login time, IP address, etc., to monitor all events that occur in the system. Data traceability is achieved by mastering every footprint the user leaves in the system.

2. Recommended collection

This function module collects user feedback and suggestions and provides online help. At the same time, when exiting the system, the user's feelings and evaluations of the system use are popped up, and the system is continuously improved and improved by collecting user evaluation and modification suggestions.

Effect

1. Number of registered persons

The graduate tutor portal system currently has more than 3,600 registered people, including more than 1,500 graduate tutors. The number of daily visits reached more than 1,000 times, and the cumulative number of visits in the first half of 2015 exceeded 170,000.

2. User experience

Thanks to the system's individual design and service concept during research and development, the graduate tutor portal system has received relatively good user evaluation since its use. Figure 2 is a user experience chart that visually reflects the user's acceptance of the mentor portal system.

3. Social recognition

Due to the design concept of the instructor portal system and the demonstration value of the application value, the graduate schools of the brothers and universities have come to our school for investigation and research, and the related work has been rewarded by the Chinese Academy of Sciences and Anhui Province for many times.
